Hand-written forms will not be accepted.

 

Pricing should always be in WHOLE DOLLAR AMOUNTS ONLY.

 

Copies of all control sheets must be submitted no later than July 15, 2017, so that items can be added into inventory and barcodes generated.

 

When filling out Art Gallery control sheets, a dollar amount or Not for Sale (NFS) must be entered into all three of the columns provided. If some of your artwork will be NFS, then NFS MUST be entered into all three of the columns provided. If some of your artwork will be for sale,then a dollar amount MUST be entered into all three of the columns provided. You CANNOT combine a dollar amount and NFS together on a single piece of artwork in any combination (e.g. QS $5.00, MB NFS, AA $4.00). Failure to follow these guidelines may result in the applicant not being accepted into the Art Show.

 

You cannot add any items to your control sheets once this information has been added to inventory. However, items may be removed when the artist and/or agent checks into the Show.

 

We realize that due to our early Jury process, many artists may not have all of the artwork originally listed on their control sheets available by Showtime due to selling it at other Conventions before Dragon Con. While we prefer to have little or no changes to the control sheets by day of Show, we understand this cannot always be the case and will make every effort to work with each artist individually if there is an issue. Therefore, substitutions are permitted with specific conditions (please see below) prior to check-in, providing there is no pricing difference between the originally listed item and the substitute item.

Please be aware - Changes to the control sheets (Art Gallery and/or Print Shop) onsite day of Show for any artist will be limited to 25% of the total number of pieces of artwork being submitted into the Art Gallery and/or Print Shop, not including deletions. Percentages will be calculated by dividing the number of line items with changes by the total number of line items on the control sheets, not the dollar values.

Also - Not for Sale (NFS) items are limited to 25% of the total number of pieces of artwork being submitted into the Art Gallery, not including deletions. Percentages will be calculated by dividing the number of line items with NFS by the total number of line items on the control sheets.

 

Copies of your control sheets will be available at the Show for use during check-in and check-out procedures.

 

Art Gallery Control Sheets

For each Art Gallery piece you are entering into the Show, you will need to fill out the following fields on your control sheets:

Title of Piece - The title of the piece.

- Populating this field will cause the "Piece Id" field to automatically generate.

- This information will be automatically populated to the bid sheets when you use the "Generate Bid Sheets" button.

Medium - The medium used to create the piece.

- If you put a print in the Art Gallery, you still use an Art Gallery Piece Id, but you will use this field to record the medium of the original and you must annotate why the print is unique.

- For more detailed information about "limited edition" prints in the Art Gallery, please refer to the Departments tab.

- This information will be automatically populated to the bid sheets when you use the "Generate Bid Sheets" button.

Original - Specifies if the piece is an original work.

- This information will be automatically populated to the bid sheets when you use the "Generate Bid Sheets" button.

Quick Sale - Enter the price you wish the customer to pay if they want to buy it without having to bid on it.

- This is equivalent to eBay's "Buy It Now" functionality.

- We will charge a 15% sales commission on all pieces sold in the Art Gallery. Allow for this when calculating your Quick Sale price.

- This information will be automatically populated to the bid sheets when you use the "Generate Bid Sheets" button.

- Use whole dollar amounts only.

Minimum Bid - Enter the minimum amount you are willing to accept for the sale of this piece.

- The first customer to start bidding on this piece must meet or exceed this amount.

- We will charge a 15% sales commission on all pieces sold in the Art Gallery. Allow for this when calculating your Minimum Bid price.

- This information will be automatically populated to the bid sheets when you use the "Generate Bid Sheets" button.

- Use whole dollar amounts only.

After Auction - Enter the price you wish the customer to pay if the piece has not sold for the Quick Sale price or the piece has not yet received any bids by the end of the Silent Auction.

- If there are no bids on the piece after the Silent Auction ends at 6:00 p.m. on Sunday, buyers may purchase the piece at the After Auction price.

- We will charge a 15% sales commission on all pieces sold in the Art Gallery. Allow for this when calculating your After Auction price.

- If the After Auction price is too low, it will reduce the chances of the piece going to auction.

- This information will be automatically populated to the Bid Sheets when you use the "Generate Bid Sheets" button.

- Use whole dollar amounts only.

Delete Button - Allows you to delete the entire line when editing.

- While you can adjust any field on a line independently, sometimes it is just easier to erase the entire line and start over with a new entry.

- Please DO NOT leave a blank line on your control sheets when using the delete button. Doing so will interfere with our inputting procedures and cause a delay in processing your control sheets. You must always list the pieces consecutively on your control sheets.

Art Gallery Bid Sheets

All artists (attending and Mail-in) are required to create, printout and verify their own bid sheets using the online system for all artwork checked into the Show for the Art Gallery department. The Directors will create current barcodes based on the information inputted by artists online. The barcodes will match the Quick Sale price determined by the artist and used by Art Show Staff onsite to increase efficiency during the Show. The Directors will print these out on Avery labels and mail them to all artists (attending and Mail-in) to attach directly to the corresponding piece of artwork.

 

Art Gallery Bid Sheets can be printed on either 8.5" x 11" paper (4 bid sheets to a page) or 4" x 6" index cards.

 

One bid sheet must be completed for each item entered into the Art Gallery department of the Art Show.

 

Please verify that the price values on the bid sheets match the price values specified on the control sheets and the barcodes.

 

Bid Sheet Field Definitions

Piece Id - The piece id of the item, as found in the "Piece Id" field on your Art Gallery control sheet.

- This value should be copied directly from the control sheets.

Title - The title of the piece.

- If the piece is a limited edition print, you should have indicated the print number, print run and print method in the medium field below.

- NEWIf you have changed the title of the piece since submitting your control sheets (e.g. if the piece was not completed when you submitted your control sheets or if you have substituted an identically priced item for the one you originally listed), write the original name of the piece as it appeared on the control sheet on the back of the bid sheet. We will need to match this value during check-in and check-out.

- This value should be copied directly from the control sheets.

Artist - Your name.

- This is the name by which you are known to the art world. It does not need to be your legal name.

- This value should be copied directly from your application form.

Original - Specifies if this piece is an original.

- This value should be copied directly from the control sheets.

Student - Indicates whether or not you have entered the Art Show as a student.

- This value should be copied directly from your application form.

Medium - Specify the medium of the piece.

- If the piece is a "limited edition" print, you must annotate why the print is unique. Please indicate the original medium as well as the print method used to create the print. You should also indicate the print number and print run (e.g. "Oils; Archival Inkjet Print 151 of 250").

- This value should be copied directly from the control sheets.

Quick Sale - The Quick Sale amount, as specified on your control sheets.

Minimum Bid - The Minimum Bid amount, as specified on your control sheets.

After Auction - The After Auction amount, as specified on your control sheets.
